Contact Room – A Space for Engagement

The Contact Room serves as a vibrant hub where artists, agents, and artistic companies exhibit and engage in discussions with presenters about bookings and touring opportunities.

The Contact Room is in the Mount Benson Ballroom C/D, a premier, versatile event space, at the Vancouver Island Conference Centre. VICC is an award-winning event venue conveniently located in vibrant downtown Nanaimo. See floorplans for the venue at https://viconference.com/facility/floorplans-specifications/.

  • Friday, October 2 from 4:00 PM to 6:00 PM
  • Saturday, October 3 from 4:00 PM to 6:00 PM

The Contact Room is open 15 minutes before scheduled hours to allow you to prepare.

Booth Tips

We will provide a small step ladder. Please do not stand on the booth or chairs to hang banners or signage.

Bring headphones if you want visitors to listen to music or watch videos.

We will signal when the Contact Room 15 and 5 minutes prior.

Please pack up quickly, as other conference events often follow Contact Room times.

Security & Access

You must wear your conference badge to have access to the Contact Room and other conference venues.

The Contact Room is locked during non-operating hours. As an exhibitor, you must be at your booth in the Contact Room during operating hours. The room will be open 15 minutes before scheduled operating hours to allow exhibitors to prepare before presenters arrive.

Please take personal items, including valuables, with you, as there is no access to this space after operating hours.

A map of the Contact Room layout, including booths, will be included in the Pacific Contact Program distributed at the conference to registered delegates. It will also be available on our website in September.

Booth Info

  • Booths are set up for tabletop displays.
  • Table dimensions are 4 ft long by 2 ft wide and 2.5 ft tall.
  • The black drape behind the booth is approximately 8 ft high.
  • Posters can hang on the drape pipe using hooks (S hooks).
  • We will have a limited number of S hooks available.
  • The table skirt and top will be black.
  • Booths DO NOT have access to electricity.
  • A shared charging station will be available in the room.
  • Please advise ASAP if there is something unusual about your setup.

Schedule

  • Set up: Friday, October 2 from Noon to 2:30 PM
  • Strike: Saturday, October 3 from 6:00 PM to 6:30 PM

Parking

Situated in the heart of the city, VICC is easily accessible and offers a 300-space underground paid parking garage, with entrances on Gordon Street and Museum Way. The entrance is located behind the Port Theatre on Museum Way.

Rates are approximately $0.75 for 2 hours, $7.00 for 12 hours, and $9.00 for 24 hours. Pay and display, credit cards, and phone payment are accepted. Parking has a 6’6″ height restriction.

Loading / Unloading

The loading dock is situated behind the VICC building on Gordon Street. The area is designed for easy access, including a freight elevator. A limited number of dollies/carts will be available for load-in/load-out.
